Wedding RSVP: how to count your guests accurately
Invite by household, ask each household for a yes or no and a party size, and set a reply date about three weeks before the wedding. Then chase the silent ones personally and add a small margin for no-shows and unexpected arrivals.
Why count by household and not by person?
Most families answer together, so one reply per household is easier than one per person, and it matches how the hall seats guests. Write the invited party size on each household's invitation, so nobody assumes a plus-one.
A personal link for each household makes the count automatic: you see the yes, the no and the party size without typing anything in.
When should the reply date be?
Set it at least two to three weeks before the wedding, which leaves time to confirm numbers with the hall and the caterer. Say the date on the invitation and in the message.
Venues usually ask for final numbers before the day itself, so ask them what date they need and work backwards.
What do I do about guests who do not reply?
Wait a week after the first message, then send one warm reminder in your own words. Then call the people who matter most: an unanswered invitation is usually a forgotten one, not a refusal.
This is the wording the library suggests for a reminder:
Not long now. Please remember Reem & Ahmad on Thursday, April 15th, 2027; we are counting the days. See you soon.
How many people will really come?
Your own past events are the best guide, since attendance varies by family and season. When you count, treat 'yes' as firm, 'no reply' as unknown and plan the hall for confirmed numbers plus a small margin.
At the door, a QR entry card shows who has arrived, so you can compare the real number with the list afterwards.
Questions and answers
How early should RSVPs close?
Two to three weeks before the wedding, or the date your hall and caterer ask for.
Should I count children?
Yes, as part of the household's party size, and say on the invitation if children are welcome.
Can guests change their answer?
Yes, until the reply date. Dawati's RSVP page tells each guest until when they can change it.
